What is a W9
A W-9 form, officially known as the “Request for Taxpayer Identification Number and Certification,” is a document used by the IRS to gather information about an individual’s or entity’s taxpayer identification number (TIN).
Why is it important
- It lets you know if the entity needs to be issued a 1099 at the end of year based on how they are classified.
- It provides the information needed to complete the 1099 form at the end of the year.
Who needs to fill out a W9
We recommend that you have EVERY new vendor/person fill out a W9 BEFORE they start the work. This includes, but not limited to:
- Musician/Band Member
- Guest Speaker
- Childcare worker
- Audio Technician
- Place that you rent from for services or events
- Individual Missionary (not being supported through a sending organization)
- Maintenance Worker/Company
- Janitorial Company
- Landscaping Company
- Law Firm
Having someone fill out a W9 before work is done not only is best practice but also reduces a big headache at the end of the year when that information is vital.
